Responsibilities

This full-time position functions to supporting high-level Executive(s) and help to ensure smooth operations within the organization so this Executive can continue to manage the company at a high level, and include the following responsibilities.

  • Calendar Management: Schedule and manage appointments, meetings, and travel arrangements, ensuring efficient time management.
  • Communication: Act as a point of contact between the executive and internal/external stakeholders, handling calls, emails, and correspondence.
  • Meeting Coordination: Organize and prepare for meetings, including creating agendas, taking minutes, and following up on action items.
  • Document Management: Prepare, review, and manage documents and reports, ensuring accuracy and confidentiality.
  • Application Management: Prepare, complete and upload application renewals for Woman-Owned Business Certifications.
  • Project Support: Assist in project management tasks, including tracking progress, deadlines, and deliverables.
  • Research: Conduct research and gather information to assist in decision-making and strategy development.
  • Administrative Tasks: Handle various administrative tasks, such as filing, data entry, preparing proposals, printing necessary documents, and maintaining records.
  • Social Media/Pubic Relations: Work with internal Social Media Content Creator to manage Executive’s social media when necessary
  • Event Planning: Organize corporate events, conferences, and team-building activities.
  • Budget Management: Assist in tracking expenses and budget management for projects and departmental needs.
  • Confidentiality: Maintain discretion and confidentiality in handling sensitive information.

 

Experience and Knowledge Expected:

  • Minimum of 3 years’ experience as an Executive Assistant or Office Manager required
  • Excellent MS Office Suite knowledge in Excel, PowerPoint and Word
  • Time management skills a must
  • Discretion and confidentiality required 
  • Excellent research skills
  • Attention to detail
  • Adaptability
  • Ability to problem solve and make decisions on your own
  • Superior organizational skills
  • Proficiency in Word and PowerPoint 
  • Ability to create worksheets and formulas within Excel 
  • Excellent written and oral communications skills

Minimum Requirements

Education: Associates Degree Program or Vocational School Program desired. Combination of experience and education will be taken into consideration.
