Executive Assistant
Responsibilities
This full-time position functions to supporting high-level Executive(s) and help to ensure smooth operations within the organization so this Executive can continue to manage the company at a high level, and include the following responsibilities.
- Calendar Management: Schedule and manage appointments, meetings, and travel arrangements, ensuring efficient time management.
- Communication: Act as a point of contact between the executive and internal/external stakeholders, handling calls, emails, and correspondence.
- Meeting Coordination: Organize and prepare for meetings, including creating agendas, taking minutes, and following up on action items.
- Document Management: Prepare, review, and manage documents and reports, ensuring accuracy and confidentiality.
- Application Management: Prepare, complete and upload application renewals for Woman-Owned Business Certifications.
- Project Support: Assist in project management tasks, including tracking progress, deadlines, and deliverables.
- Research: Conduct research and gather information to assist in decision-making and strategy development.
- Administrative Tasks: Handle various administrative tasks, such as filing, data entry, preparing proposals, printing necessary documents, and maintaining records.
- Social Media/Pubic Relations: Work with internal Social Media Content Creator to manage Executive’s social media when necessary
- Event Planning: Organize corporate events, conferences, and team-building activities.
- Budget Management: Assist in tracking expenses and budget management for projects and departmental needs.
- Confidentiality: Maintain discretion and confidentiality in handling sensitive information.
Experience and Knowledge Expected:
- Minimum of 3 years’ experience as an Executive Assistant or Office Manager required
- Excellent MS Office Suite knowledge in Excel, PowerPoint and Word
- Time management skills a must
- Discretion and confidentiality required

- Adaptability
- Ability to problem solve and make decisions on your own
- Superior organizational skills
- Proficiency in Word and PowerPoint
- Ability to create worksheets and formulas within Excel
- Excellent written and oral communications skills

Minimum Requirements
Education: Associates Degree Program or Vocational School Program desired. Combination of experience and education will be taken into consideration.
